The Role

We are currently recruiting for an experienced Document Controller/Turnover Coordinator to support upcoming projects at Kearl Oil Sands. This is a camp-based position with flights provided from Edmonton and/or Calgary. 

Reporting to the Project Manager, the Document Controller will be responsible for supporting the project team by ensuring all engineering and project documentation is managed, tracked, and delivered accurately and on time. This role is integral to maintaining compliance with client requirements, supporting efficient project execution, and upholding strong client relationships.

This position follows a 14 days on / 14 days off rotation, working 12-hour shifts.

Duties/Responsibilities

  • Follow and execute OCL’s Document Control processes and procedures.
  • Support project turnover and closeout activities, ensuring all documentation is complete, accurate, and aligned with client turnover requirements
  • Creation and Submission of RFI’s and maintenance of the RFI Log.
  • Redline documents as required and maintain redline drawing logs to fulfill turnover deliverable requirements.
  • Provide project support and assist with client requests.
  • Coordinate with project teams to plan and execute documentation according to scope and deadlines.
  • Coordinate compilation of turnover packages including MDR;s, test records, as-builts and QA/QC documentation
  • Verify client requirements are strictly adhered to when requesting deliverables and tags.
  • Perform detailed checks and reviews on drawings and documents to ensure compliance with both client and OCL standards.
  • Track and manage turnover milestones in alignment with construction schedules 
  • Prepare, record, and manage controlled drawings and documents.
  • Distribute project deliverables to clients and internal teams.
  • Liaise with construction, QA/QC, engineering teams to ensure timely submission of required deliverables
  • Upload documents and drawings, updating metadata in the client database to ensure accuracy.
  • Perform database searches to retrieve templates, standards, and reference materials.
  • Maintain turnover logs and reporting to provide status updates to project stakeholders
  • Maintain open communication with the client to support strong working relationships.

Education/Skills/Qualifications

  • Proven experience as a Document Controller with strong skills in reviewing project deliverables.
  • Experience supporting project turnover and closeout documentation in industrial /oil and gas environments
  • 2+ years of experience in Document Control, involved in all project phases (start-up to closeout).
  • Knowledge of document and drawing requirements across multiple disciplines.
  • Strong understanding of turnover processes including MDR compilation, RFI, tracking, redlines and as-built documentation
  • Strong time management skills with the ability to manage multiple priorities.
  • Proficiency with Microsoft Word, Excel, Bluebeam, Aconex, Hexagon, Google Docs, and Google Sheets.
  • Highly organized, proactive, and able to thrive in a fast-paced, deadline-driven environment.
  • Ability to coordinate across multiple disciplines to meet tight turnaround deadlines
  • Clear, efficient, and professional communication skills.
  • Must be legally eligible to work in Canada 
  • Must be able to pass a criminal background check
  • Must be able to pass a pre-employment drug and alcohol test
