The Role
We are seeking a highly organized and detail-oriented Project Billing Administrator to join our team and support a major project at Kearl Lake Oil Sands.
This role has a strong focus on billing and materials administration, ensuring accuracy and compliance with project financial processes. You will play a key role in supporting our project team by managing documentation and ensuring that purchase orders (POs), invoices, and packing slips align through a 3-way match process.
This is a work-from-home position once training is completed at the Edmonton Head Office. You will be required to travel to Kearl Lake Oil Sands occasionally for training and to handle onsite administration.

Responsibilities/Job Duties:
- Manage and maintain all billing and materials documentation for the Kearl Lake Oil Sands project.
- Ensure accurate 3-way match between purchase orders (POs), invoices, and packing slips before processing.
- Support accounts payable by reviewing and reconciling project-related expenses and documentation.
- Track and reconcile labour, equipment, and material costs, ensuring data integrity and accuracy.
- Prepare and distribute daily, weekly, and monthly financial and materials reports to support project controls and cost tracking.
- Maintain organized electronic files, correspondence logs, and project records to ensure compliance and audit readiness.
- Work closely with purchasing teams to verify materials documentation and resolve discrepancies promptly.
- Monitor and update systems to ensure real-time accuracy of billing and material data.
- Identify and recommend process improvements for billing, purchasing, and materials management workflows.
Qualifications/Education/Experience
- 3–5 years of experience in billing, accounts payable, or materials administration, preferably in construction, oil & gas, or heavy industrial environments.
- Strong understanding of billing, purchasing, and accounts payable processes.
- Familiarity with job cost codes and project accounting practices.
- Proficiency in Microsoft Excel and Google Suite (Google Sheets, Docs, Drive, etc.) for data tracking, reporting, and documentation management.
- Strong organizational skills and attention to detail for accurate documentation.
- Ability to work independently and maintain productivity in a remote work environment.
- Must be legally eligible to work in Canada and available during regular business hours.
- Edmonton-based preferred, due to proximity to travel logistics for Kearl Lake.
- Must be able to pass a pre-employment drug and alcohol test as required by site regulations.
- Must successfully pass a criminal background check.
- Will be required to complete various safety training courses and orientations as per client and OCL requirements prior to starting at site
